    ASS Roles and Permissions

    The roles and permissions are detailed below with their respective description, which you can later configure in the console ASMSAdministrator in the session of Roles.


    Article Manager

    It is the most far-reaching role for the management of knowledge base articles: in addition to allowing articles to be created, edited, deleted, and directly queried, it groups together the read-only access to the platform’s cross-sectional catalogs—categories, groups, projects, vendors, users, models, statuses, services, SLAs, additional fields, relationships, templates and mail servers, and CI’s—that the article form needs to populate its combos and cross-references when creating or editing content.

    UpdateAccessObject Allows you to modify the access list (record-level security) of an article, defining which additional users or groups can view or edit it.
    CreateDocument Allows you to attach a new document to an article.
    GetDocument Allows you to consult a document attached to an article.
    DeleteDocument Allows you to remove an attachment from an article.
    DELETE IMAGES RELATED TO ARTICLES Allows you to remove images embedded in the content of an article.
    Categories.List Allows you to consult the list of categories available to classify the article.
    Groups.ListArea Allows you to consult the list of working groups to associate them with the article.
    Projects.List Allows you to consult the list of projects to associate them with the article.
    Projects.GetObject Allows you to consult the detail of a project associated with the article.
    Groups.GetObject Allows you to consult the details of a workgroup associated with the article.
    Groups.List Allows you to view the list of available workgroups.
    Vendor.ListCompany Allows you to consult the list of companies to associate them with the article.
    Vendor.GetObject Allows you to consult the details of a supplier associated with the item.
    Vendor.ListProvider Allows you to consult the list of supplier companies.
    User.GetObject Allows you to consult the detail of a user associated with the article.
    User.ListClient Allows you to view the list of users to associate them with the article.
    User.ListSpecialist Allows you to consult the list of specialists to associate them with the article.
    Models.List Allows you to view the list of available item types (models).
    Models.GetObject Allows you to consult the details of a type (model) of article.
    Categories.GetObject Allows you to consult the details of a category associated with the article.
    States.GetObject Allows you to consult the detail of a status of the life cycle of an article.
    States.List Allows you to view the list of lifecycle statuses of items.
    Services.List Allows you to consult the list of services to associate them with the article.
    SLAs.List It allows you to consult the list of SLA’s to associate them with the article.
    Services.GetObject Allows you to consult the detail of a service associated with the article.
    SLAs.GetObject It allows you to consult the detail of an SLA associated with the item.
    SLAs.ListUC It allows you to consult the list of UC’s related to the SLA’s in the article.

    Additionals.List Allows you to view the list of additional fields configured for articles.
    Additionals.GetObject Allows you to view the detail of an additional item field.
    Relations.List Allows you to view the list of relationships established between items and other objects.
    Relations.GetObject Allows you to consult the detail of a relationship of an article.
    MailTemplates.GetObject Allows you to consult the detail of an email template associated with the articles.
    MailServers.GetObject Allows you to consult the details of a configured mail server.
    Cis.GetObject Allows you to view the detail of a configuration item (CI) that is related to the item.
    Cis.List It allows you to consult the list of configuration items (CI’s) related to the article.
    Articles.Add Allows you to create a new article in the knowledge base.
    Articles.Update Allows you to edit the content of an existing article.
    Articles Allows access to the item management screen.
    Articles.Delete Allows you to delete an article from the knowledge base.
    Articles.GetObject Allows you to consult the detail of an item.
    Articles.List Allows you to view the list of articles published in the knowledge base.


    Article Status Administrator

    It allows you to manage the catalog of statuses that an article goes through within its publication flow (for example, draft, in review, published or obsolete), as well as the transitions allowed between them and the reasons associated with each status change.

    States.Add It allows you to create a new state of the life cycle of the items.
    States.Update Allows you to edit an existing status of items, such as their name or allowed transitions.
    States.Delete Allows you to delete a configured status for items.
    States.GetObject Allows you to consult the detail of an item status.
    States.List Allows you to view the list of configured statuses for items.
    Article.States It allows you to visualize, from the article, the current state in which it is.


    Article Additionals Administrator

    Allows you to manage additional fields in the article form, where you define custom attributes—text, date, list, numeric, or catalog—that complement the standard item information.

    Permission Description Permit
    Additionals.Add Allows you to create a new additional field for the article form.
    Additionals.Update Allows you to edit the settings of an existing additional item field.
    Additionals.Delete Allows you to remove an additional field from the article form.
    Additionals.List Allows you to view the list of additional fields configured for articles.
    Additionals.GetObject Allows you to view the configuration detail of an additional item field.
    Article.Additionals It allows you to view, from the article, the additional fields filled in it.


    Article Approvals Administrator

    It allows you to configure the approval flows that are executed before publishing an article, defining the internal or customer voters who participate, the required voting threshold and the states to which the article passes based on the result of the vote.

    Approvals.Add Allows you to create a new approval flow for items.
    Approvals.Update Allows you to edit an existing approval flow for items.
    Approvals.Delete Allows you to delete an approved flow configured for items.
    Approvals.List Allows you to view the list of item approval flows.
    Approvals.GetObject Allows you to view the detail of an item approval flow.
    Article.Approvals Allows you to view the approvals associated with an item.


    Article Rules Administrator

    It allows you to configure the business rules of the items, where the conditions are defined that, when met, trigger an automation (for example, notify or change the status of the item).

    Rules.Update Allows you to edit an existing business rule for items.
    Rules.Delete Allows you to remove a business rule from items.
    Rules.List Allows you to view the list of business rules configured for items.
    Rules.GetObject Allows you to query the detail of an item business rule.
    Article.Rules Allows you to view the business rules associated with an item.


    Article Types Administrator

    Allows you to manage the knowledge base article types (models), where you define the categories that classify an article and determine the field template that is displayed in your form.

    Models.Add Allows you to create a new article type in the knowledge base.
    Models.Update Allows you to edit an existing article type.
    Models.Delete Allows you to delete a configured item type.
    Models.List Allows you to view the list of configured item types.
    Models.GetObject Allows you to consult the detail of an article type.
    Article.Models Allows you to view the article types configured in the knowledge base.


    Article Folders Administrator

    It allows you to manage the folders that hierarchically organize the articles within the knowledge base, facilitating their classification and location.

    Folders.List Allows you to view the list of folders created to organize articles.
    Folders.GetObject Allows you to consult the details of a folder of articles.
    Folders.Update Allows you to edit the name or structure of an item folder.
    Folders.Add Allows you to create a new folder to organize your items.
    Folders.Delete Allows you to delete a folder of items.
    Article.Folders Allows you to view the folder structure of the articles.


    Article Mail Template Administrator

    It allows you to manage the email templates used in the automatic notifications of the articles, including the subject, the body of the message and the variables that are replaced with article data at the time of submission. The email templates screen is shared by several ASMS modules, so this role also controls which other categories (CI, Maintenance, Change, Incident, Problem, Release and Service Request) are available in the selector of that same screen.

    MailTemplates.Update Allows you to edit an existing mail template of the articles.
    MailTemplates.Delete Allows you to delete a mail template configured for articles.
    MailTemplates.List Allows you to consult the list of email templates for the articles.
    MailTemplates.GetObject Allows you to consult the detail of an article mail template.
    Article.MailTemplates It allows you to view, from the article, the email templates associated with it.
    CI.MailTemplates Allows the “CI” category to be available in the Mail Templates screen selector, to manage configuration item notification templates from there.
    Maintenance.MailTemplates Allows the “Maintenance” category to be available in the Mail Template screen picker, to manage maintenance notification templates from there.
    Change.MailTemplates Allows the “Change” category to be available in the Mail Templates screen selector, to manage change notification templates from there.
    Incident.MailTemplates Allows the ‘Incident’ category to be available in the Mail Templates screen selector, to manage incident notification templates from there.
    Problem.MailTemplates Allows the “Problem” category to be available in the Mail Templates screen selector, to manage problem notification templates from there.
    Release.MailTemplates Allows the “Release” category to be available in the Mail Templates screen selector, to manage release notification templates from there.
    ServiceCall.MailTemplates Allows the “Service Request” category to be available in the mail template screen selector, to manage service request notification templates from there.
